District Mail Guidelines

USPS Regular Mail
- All mail must have either the flaps down or be sealed.
- All manila envelopes and packages must be sealed.
- Returned merchandise must have postage‐paid labels. If there are no postage‐paid labels, packages must be sent to the Warehouse with completed United Parcel Service (UPS) forms. Forms may be obtained from the Warehouse Catalog WS#9158.
- Packages weighing 14 pounds or more must be sent to the Warehouse with UPS forms and sealed with clear tape.
- International mail should be identified with a marker (i.e. clip, post‐it note, etc.).

USPS Bulk Mail: 1st Class vs. 3rd Class
First Class Bulk Mail
Needs a minimum of 500 pieces to qualify and must be personal information, such as report cards or test scores. First class bulk mail needs to have the endorsement of “Return Service Requested” on the envelope preferably on the upper left hand side ¼” under the return address. The mail will be returned to you if it is a bad address with the corrected address so you can update your records.
Third Class Bulk Mail
Needs a minimum of 200 pieces to qualify and must have the exact same weight and information, i.e. meetings, activities at the school (weighing up to 3.3 ounces). It will not be accepted by the post office if it has “Return Service Requested” on this mail. In addition, they will not accept it unless it has “OR CURRENT RESIDENT” below the person’s name.

Intra-district Site Mail
- When using district envelopes that have been used in the past; cross off prior names/departments
- When sending mail, include department/site with name and place in mail bin; face up, preferably in one direction.
- Intra‐district mail must have the names of addresses and locations on the routing slips.

County Truck Mail
- Mark Truck Mail – county delivers/picks up mail on Mondays and Thursdays except scheduled holidays.

Warehouse Stock Orders

To see items kept in stock in the warehouse, check our Warehouse Catalog (Revised October 2020).

Instructions
Warehouse stock orders are to be submitted on Form Number 9-162 (Warehouse Stock Order Form) and should include the following information:
- Quantity
- Stock Number
- Brief Description
- Unit Price
- Price Extension
- Total (Price includes tax)
- Account Number
- Administrator's Signature
The omission of any of the above information can slow the order process.
Faxed requisitions or copies will not be accepted.
Submit the completed order form to the Fiscal Services department at the District Office.
The order needs to be in the Fiscal Services department at least a week prior to your site’s delivery day.

Returns
- Call Fiscal Services for authorization to return items. Returned merchandise must be received in the warehouse before credits can be issued.
- Returned merchandise should be written on a District Warehouse Order Form, marked ‘return to stock’ and sent with the merchandise to the District Warehouse.
- Credit cannot be issued until the merchandise is received in the warehouse.

District Forms
- All district forms are at no charge to the sites, but a warehouse stock order form must be submitted including an account number so that we can update the district inventory.

Discrepancies
- All discrepancies on warehouse stock orders, including quantity errors or defective/damaged merchandise, should be reported immediately to the Fiscal Services department.

Back Orders
- Any items on your order marked “back ordered” will be delivered when stock becomes available. Back orders are filled in the order in which they were received.

The Warehouse is open for receiving from 7:00 am to 2:00 pm, Monday through Friday

Delivery Schedule
District mail is picked up and delivered daily.
Large items are delivered to designated sites on the following days:
- Monday - Laurel, McAuliffe, Ivey, ECHS
- Tuesday - Palmquist, South Oceanside, Lincoln, MLK, Surfside, Chavez
- Wednesday - Stuart Mesa, Santa Margarita, North Terrace, OHS
- Thursday - San Luis Rey, Libby, Del Rio, Nichols, Mission
- Friday - Jefferson, CBA, Foussat, Reynolds, DO, ESS
